The problem

Clients add up. So does the chasing.

There are 6 stages from first inquiry to the month’s report. If these still run on inboxes, message threads, and memory, the bottleneck is not your accounting software. It is everything around it.

On the free audit call we go through these stages with you. The Blueprint then shows what we build, what it costs, and when it ships.

Win clients - proposals start from scratch

Fees are worked out by hand each time, follow-up is remembered instead of scheduled, and nobody has written down what is included.

Onboard a client - the same questions every time

Documents and access are requested by email, the same checklist is rebuilt for each new client, and setup details live in someone’s head.

Collect the month’s documents - the chase never stops

Who has sent what lives in a spreadsheet or in memory, reminders are typed by hand, and the last documents arrive late.

Prepare the books - exceptions land on whoever notices

Unreadable, duplicate, or unmatched documents surface halfway through, with no context.

Review and deadlines - the calendar lives in people’s heads

Which client is late, who has it, and which deadline is next gets answered by asking around.

Bill and report - assembled by hand at the end

Invoices to your own clients and monthly reports are built by hand, after the real work is done.

The solution

Custom AI accounting process automations

We don’t drop a project and disappear. We stay in your agency’s operation.

Map what still burns hours

We run a free audit of how documents, exceptions, deadlines, and client follow-up really move through your agency today, in your words, not a template.

Ship the highest-ROI fix next

We ship a clear next fix: a missing-document chase, exception routing, a deadline view, or a small internal tool.

Keep what you have live

APIs change. Models change. We monitor and fix what’s already running while the next build is underway.

Review what moved

Each month, we review what shipped, what it changed, and what’s next on a backlog you can see.

What changes

What we build around month-end.

We build around your accounting software, not instead of it. Everything below is what we build on request.

Documents that arrive complete

  • A monthly view for each client of what has arrived and what is still missing
  • A chase for each missing document that stops once the right one arrives
  • Reminder messages drafted for you to approve and send
  • A checklist per client that you set, so “complete” means what you say it means

Exceptions sent to a person

  • Unreadable, duplicate, and unmatched documents sent to the right reviewer, with context
  • When the system is unsure, the task goes to a person
  • The reviewer sees why each item was flagged

Workload you can see

  • One view across all your clients: what is late, who has it, and which deadline is next
  • Deadlines for every client in one place
  • A short list for each person of what is theirs

Ready for review

  • Reconciliation exceptions and discrepancies prepared for the accountant to approve
  • Each exception shown with the documents behind it, so review starts at the problem
  • Drafts the accountant can approve, edit, or reject
Why this works

It works around your accounting software

Your accounting software holds the books. We handle everything that still happens by hand around it.

If your accounting software already reads invoices, fetches e-invoices, and handles approvals, we don’t rebuild that. What tends to stay manual, even with good software, is the chasing and routing across all your clients: who is missing what, who has the exception, and what is ready for review. That is where we start: the first fix, then the next, from a backlog you can see.

Eterna runs its own operations on AI agents, accounting included: a monthly financials update from receipts and invoices. That is our own work, not a client project.

AI prepares, the accountant decides

Nothing AI-generated reaches a client or a tax authority without the accountant approving it.

Your clients’ data

You choose where your data is hosted: the EU or the US. We never train our own models, or any model reused across clients, on your data. We don’t send your data to an AI provider that trains on it by default. We say where your clients’ data sits and who can see it before we build.

Our security and data practices

Go-live guarantee

If the first build misses the agreed date because of us, we keep working at no extra cost until it’s live.

We measure before we build

Every build starts with an agreed operational metric. We don’t invent percentage savings.

Why custom

Built around your agency, not a template

Your month-end runs on the clients, checklists, and habits that are yours.

  • Your clients, your checklist

You get the documents each client owes you every month, tracked the way your agency already thinks about them.

  • Your way of working

We build on the reminders, steps, and handoffs your team already uses.

  • Around the software you keep

Your accounting software stays the record. We connect what happens around it instead of asking you to switch.

  • Yours to keep

You own the code, workflows, accounts and documentation. License fees for third-party tools stay on your accounts.

“Working with Marko at Eterna on the development of my B2B platform has been an exceptional experience. Communication was outstanding from day one; they were always highly attentive to details and proactive. Despite a significant time zone difference, they were incredibly responsive, consistently answering questions and resolving doubts in less than 24 hours.”

How we work

Audit to growth. One partner throughout.

Audit

A free audit call. We map how the work really moves today, name the highest-ROI first build, and agree how we will measure it.

Blueprint

A written plan for the first build: scope, where a person approves, the agreed operational metric, and the go-live date.

Development

We build it around your tools, not instead of them, with a person approving at the points the Blueprint names.

Go live

It goes live and stays monitored. If the first build misses the agreed date because of us, we keep working at no extra cost until it is live.

Growth

We keep what is live healthy, review each month what moved, and ship the next highest-ROI fix from a backlog you can see.

Working together

What's in. What's out.

Where we’d start

  1. 1.Missing-document chase and completeness tracking
  2. 2.Routing of unreadable, duplicate, and unmatched documents to a reviewer
  3. 3.Workload and deadline view across clients
  4. 4.Reminder and status messages drafted for the accountant to send
  5. 5.Reconciliation exceptions prepared for review

You get

  • Monitoring and fixes on everything already live
  • A monthly review with clear next steps
  • A backlog you can see, not a black box

You don’t get

  • Any accounting, tax, or legal advice, or unreviewed client-facing output
  • A promise to replace your accounting software
  • License fees for third-party tools (those stay on your accounts)
Investment

One monthly partner.

€800 a month for 3 automations a year, €1,500 for 6, or €2,500 for 12. 12 months, build and maintenance included.

If it isn't working for you, give written notice before month 3 ends, no reason needed. You keep everything we built, and at least one automation will be live by then.

Not ready for a program? One-off project from €500. The exact scope comes after the free audit.
